How You Can Make an Impact

With the guidance and oversight of a dedicated supervisor, the Programme Assistant plays a pivotal role in supporting UNICEF's Education Section. This role involves executing various procedural, administrative, and operational tasks to facilitate the development, implementation, and monitoring of the country program. The objective is to ensure the timely and effective delivery of services, all in accordance with UNICEF's established rules and regulations.

 

Key Functions and Accountabilities:

  • Contract Processing: Streamlining the processing of contracts for consultants, vendors, and external partners who contribute to the program's success. This includes the meticulous preparation and filing of necessary documents on the shared drive, completing required forms and templates, uploading Terms of Reference (TORs) in VISION, and coordinating essential logistical arrangements. Maintaining accurate lists of vendors, partners, and consultant rosters.
  • Invoice Management: Collecting invoices and organizing documents for approval, followed by processing in VISION.
  • Record-Keeping: Responsible for preparing and maintaining records, documents, and control plans to monitor project/program implementation and financial expenditures. Ensuring the Education e-filing system remains well-organized and up to date.
  • Administrative Support: Assisting in the management of administrative supplies and office equipment. Maintaining the office calendar, arranging meetings, and meticulously recording meeting minutes while keeping team correspondence well-organized.
  • Travel Assistance: Providing invaluable travel support to section staff members, including travel arrangements and entitlements in strict adherence to organizational rules and policies. Collaborating with relevant travel focal points to secure the best service and price for all travel needs.
  • Staff Absence Monitoring: Overseeing a system to monitor staff absence, ensuring that the organization maintains a comprehensive view of staff availability.
  • Programme Planning Records: Maintaining and updating records related to program planning and development within their respective section.
  • VISION Transactions: Executing transactions in VISION to ensure program results, activities, and program coding align with annual work plans (AWPs). Adjusting as necessary based on section revisions.
  • Capacity Development Support: Facilitating capacity development activities, meetings, and conferences by handling logistical arrangements, and engaging with facilitators, caterers, and hosts. Coordinating participant availability, liaising with budget focal points and sections on costs and requirements, and preparing background materials for participants. 

To qualify as a dedicated advocate for every child, candidates should meet the following criteria:

  • Completion of secondary education, ideally supplemented by technical or university courses relevant to the organization's work.
  • A minimum of five years of progressively responsible administrative or clerical work experience.
  • Proficiency in English.
